What is handed over, and in what form

Four documents leave the office together and are dated together. Read apart they are weaker than any one of them read in company, which is why they are issued as a set and numbered against each other.

Survey record

The sheets as written on site, transcribed without edit, head sheet in front, photographs numbered against the observation points.

Condition schedule

One row per element and face: the sentence, the grade, the extent reached, the means of access and the date.

Specification

The clauses in the order the work is to be done, each one referencing the observation it answers.

Drawing register

Every drawing issued, with its scale, its datum, its revision letter and the date it was issued.

A schedule read without the survey record behind it has lost the evidence for every row in it, and a specification read without the schedule has lost the reason for every clause. The set is therefore issued whole even where only one part was asked for.

The form the documents take

Everything is issued as a dated document with a page count on its first page, so a reader can tell whether what reached them is complete. Drawings are issued at a stated scale with the datum printed on the sheet, and a drawing without a datum is not issued at all.

Photographs are numbered against observation points rather than captioned in prose, and a photograph with no point number against it is kept in the record but is not relied on in the schedule. A picture that cannot be placed on the frontage is a picture of a wall somewhere.

Paper and electronic copies carry the same issue date and the same page count. Where an electronic copy is amended, the amendment is a new issue with a new date rather than a quiet replacement of the old one.

Reading the set a year later

The documents are written for a reader who was not on site and who will open them long after the day they describe. That reader needs three things from every row: what was found, how much of the face it covers, and from where it was seen. All three are printed on the row itself rather than gathered into a preamble, because a preamble is the part nobody reads twice.

When the property is surveyed again, the two sets are laid side by side and matched by element and face. The new schedule prints both sentences for every row that has moved, so the change is visible as a change rather than asserted as one.
